How to Import, Export, Archive or Backup mailbox data

How To Export Data In Outlook


To export data from Outlook, follow the instructions here for the appropriate version of Outlook.

Outlook 2010

  1. On the File tab on the Ribbon, click Open, then click Import.
  2. Click Export to a file, then click Next.
  3. Select Personal Folder File (.pst), then click Next.
  4. Select the folder you want to export, then click Next.
  5. Choose the filename you want to use for the data to be exported.
  6. Click Finish.

Outlook 2011 for Mac

  1. In Outlook, choose File > Export. Alternatively, on the Tools tab on the Ribbon, choose Export.
  2. In the new window, choose Outlook for Mac Data File (.olm).
  3. Select Items of the following types, and check the boxes for the types of data you want to export (Mail, Contacts, Calendar, Tasks and Notes).
  4. Click the right arrow to continue.
  5. Choose whether to delete the exported items or to leave them in the mailbox.
  6. Click the right arrow.
  7. Specify the location and the name of the file and click Save.
  8. After Outlook finishes exporting, click Done.

Outlook 2002/2003/2007

  1. On the File menu, click Import and Export.
    (If the menu item is not available, hover your pointer over the down arrows at the bottom of the menu, then click Import and Export.)
  2. Click Export to a file, then click Next.
  3. Select Personal Folder File (.pst), then click Next.
  4. Select the folder you want to export, then click Next.
  5. Choose the filename you want to use for the data to be exported.
  6. Click Finish.

Outlook 2000

  1. On the File menu, click Import and Export.
    (If the menu item is not available, hover your pointer over the down arrows at the bottom of the menu and then click Import and Export.)
  2. Click Export to a file, then click Next.
  3. Select Personal Folder file (.pst), then click Next.
  4. Select the folder you want to export, then click Next.
  5. In Save exported file as, type the name of the file to use for the exported data.
  6. Click Finish.
